What we hold, and why

  • Account details — your email address and sign-in records, to operate your account (legal basis: contract).
  • Company and filing data — company numbers, register facts, the documents you generate and file (which include details such as your corporation tax UTR), and the registers' responses. We keep filing records as a durable audit trail of what was actually filed (legal bases: contract and legitimate interest in record-keeping).
  • Payments — handled by Stripe; we hold receipts and amounts, never card details.

What we deliberately do not store

Submission credentials — your company's Companies House authentication code and HMRC Government Gateway sign-in — are used transiently to transmit the filing you authorised and are not saved. You provide them per submission.

Who processes data for us

Stripe (payments), Resend (email), Cloudflare (website hosting), and our application hosting provider. Filings are transmitted to Companies House and HMRC — that is the service. We do not sell personal data or use it for advertising.

Retention and your rights

Filing records are retained while your account exists and for six years thereafter, in line with statutory record-keeping periods. You have the usual UK GDPR rights — access, correction, erasure (where it does not conflict with record-keeping obligations), portability and objection. Write to alex@unibooktrade.co.uk and we will respond within one month. You can complain to the Information Commissioner's Office (ico.org.uk) at any time.
